Home Services · The Unsold Estimate & Season Engine

Estimate follow-up and missed-call automation for HVAC, roofing, solar and remodeling contractors

Answer first. Follow up seven times. Rehash every estimate you wrote last year. Everborn builds the system that picks up the call the office missed, works every open estimate from day 2, and re-works the aged quote book every shoulder season.

Who it is for

Built for the owner of a $1M to $15M roofing, HVAC, solar, remodeling, plumbing or electrical company. Keep ServiceTitan, Jobber, Housecall Pro, JobNimbus or AccuLynx for the job after it's sold; this sits in front, and sold jobs flow into your system.

The Unsold Estimate & Season Engine

The named block of ten deliverables in the Growth package, built for Home Services.

  1. Unsold-estimate rehash

Seven touches over seven days from day 2 after the estimate, then days 14, 30, 60 and 90, with financing-available and phase-the-job variants. Hot replies route to the rep who wrote the quote. No payment figures.

  2. Aged-estimate seasonal sweep

Quarterly re-activation of every unsold estimate over 90 days, timed to the shoulder windows: late August for furnaces, February for AC, pre-storm for roofing, Q1 for remodels.

  3. Financing turn-down lane

A decline triggers a second-look lender offer, a cash or phased-scope option, a credit repair introduction when the homeowner asks, and a 30-day nurture. No decision language.

  4. Maintenance-agreement renewal

Twice-yearly tune-up reminders before the seasonal rush, renewal payment links and lapsed-agreement win-back.

  5. Job-progress photo updates

Crews upload from a phone and the homeowner gets a same-day update. Final photos feed the review request.

  6. Contract and cancel-notice chase

An e-sign packet with the 3, 5 or 7-business-day cancel notice and state disclosures (such as CSLB 7159 contents), plus a permit, HOA and interconnection checklist.

  7. Change-order and progress-payment flow

Form to e-sign to invoice to payment link, with an owner approval gate. California's down-payment cap of $1,000 or 10% is enforced in the template.

  8. Neighbor lane

Yard-sign QR codes and per-rep pages tag we're-on-your-street leads to the rep and job, and generate a radius mailer list.

  9. Insurance-claim status lane (roofing)

Adjuster reminders, supplement tasks and homeowner status texts. No deductible language and no adjusting, ever.

  10. Cancel-window welcome sequence

A what-happens-next sequence during the right-to-cancel window. Cancellations route to the owner; nothing pressures a homeowner to waive it.

What comes off your plate

TaskWhat changes
Call the new lead back firstText and email in under 60 seconds, round-robin with a claim window, text-back on calls that ring out.
Estimate follow-upA 7-touch sequence starting day 2 replaces the rep's memory.
Deposits and progress paymentsInvoice and payment link at each milestone, with reminders until paid.
Weekly where-are-we numbersThe owner's report replaces the Monday whiteboard.

Follow-up length and the never-list

How long it runs. Days 2 through 90 on an open estimate, then seasonal sweeps indefinitely. Solar gets a 7-day fast sequence, a 60-to-90-day education track, then quarterly touches; the maintenance base hears from you twice a year on the shoulder windows.

Blocked in every template. No tax-credit or rebate amounts as fact; the federal 25D credit ended for systems placed in service after December 31, 2025. No savings guarantees. No payment figures in automated messages. No deductible waivers. Nothing implying affiliation with a utility, government or insurer. No messages outside 8am to 9pm (8pm in Oregon). Your license number on every footer, page and card.

Three fixed packages

Launch

$3,500 build + $697/mo

Every lead answered, every call returned

Tracked number, consent-capturing forms, a reply in under 60 seconds, missed-call text-back, booking, a 5-day drip, review requests and weekly reporting.

Growth

$6,500 build + $1,197/mo

Launch plus The Unsold Estimate & Season Engine

Adds The Unsold Estimate & Season Engine, onboarding, payment links, long-term nurture, list re-activation, retention, an after-hours assistant and the owner's report.

Full Engine

$9,500 build + $1,697/mo

Growth plus the partner program and the operating system

Adds partner materials and statements, internal alerts, written procedures, priority support and the monthly automation think-tank.

Full Engine adds partner lanes for real estate agents, property managers and HOAs, other trades, supply houses, inspectors and restoration companies. A referral fee appears only where legal and disclosed to the homeowner, never on insurance-funded work.

Same prices in every industry. Half the build fee at signature, half on delivery; month to month after 90 days. Each monthly includes a $197 platform licence (take it off if you own HighLevel). Free week-one compliance review for regulated industries. You own everything.

Snap Credit Fix, a California credit repair company, runs on a system I built for them.

Home Services questions

We already use ServiceTitan, Jobber or Housecall Pro.

Keep it. Those are field-service systems, good at the job after it's sold. The front of the funnel is where they are thin or charge extra: multi-step follow-up, missed-call text-back with a claim window, seasonal sweeps and partner attribution. If you run ServiceTitan with Marketing Pro fully configured, the overlap is real, and the value is in re-activation and partner lanes.

My office manager already does the follow-up.

She makes the first call while also dispatching. Replies tend to come from the later touches on days 2 to 7, and from calls that arrive after the office closes. The system does the touches; she gets the replies.

Texting homeowners will get me sued or marked as spam.

A fair worry. 10DLC registration, written consent on every form, opt-outs honored across channels and quiet hours are built in, and canvass leads get a written opt-in step before any automated text, because a verbal number isn't consent. What gets contractors in trouble is a setter mass-texting a purchased list from a personal cell.

Leads are slow right now, especially solar.

Then the cheapest revenue in the building is the estimates already written and the customers already served. For HVAC and roofing, the shoulder season is exactly when the database campaign pays.
